DKSH Group Online Recruitment Privacy Policy
1. General
At DKSH Group (DKSH Management Ltd.), we are committed to respecting and safeguarding your privacy by handling your personal data responsibly and in accordance with applicable laws. To fully comply with the EU General Data Protection Regulation, other applicable laws, and DKSH policies regarding data protection, we have updated our data protection notices and processes which regulate how we collect and use your personal data.
This policy informs you how we collect and use your personal data in e-Recruitment. Please read it carefully. By clicking “I agree to the privacy policy statement” below, you confirm that you agree to the collection, use, retention and disclosure of your personal data for purposes related to your job application, as set forth below:
2. What personal data about you do we collect and why do we collect it?
DKSH collects and processes personal data about you, as job applicants and potential candidates for employment as far as this is necessary to support the recruitment process and its associated processes such as candidate interview and assessment, background and reference check to select the best fit candidates for any job openings.
The personal data stored in e-Recruitment by DKSH Group will be hosted and stored on behalf of the DKSH Group by Haufe-umantis AG, Unterstrasse 11, CH-9001 St. Gallen (or its successor or substitute).
Personal data stored in e-Recruitment will cover the following categories of data:
- General & identification information, such as contact details (e.g. name, telephone and mobile numbers, and e-mail address); personal details (e.g. country of residence; date of birth; gender, photograph) and social media related information (e.g. social media profiles)
- Employment history information, such as job function, position and job title; hire and termination date; employment contract; organizational and management data such as company, department, supervisor and subordinates; compensation details and history, such as salary, bonus and allowances
- Educational information, such as education history, professional qualification and experiences, performance and development programs, career development plans and internal training and education; disciplinary information; other details included in your CV
3. How we collect your personal data
We may collect your personal data directly from you, via our contracted recruitment agencies, or third-parties, such as job sites where you may have submitted your personal data upon job application.
4. Processing your personal data
By submitting your application in e-Recruitment, you provide DKSH Group with your Data and state that you are interested in an employment within the DKSH Group. Your Data may therefore (solely) be used for filling open positions (or the evaluation thereof), which can include either a single, specific opening or additional potential openings beyond the scope of your original application.
If your application is successful, your Data will be used for personnel administration including the establishment of a personnel record and management purposes.
5. Access to your personal data and transfers
Your personal data is stored with our service provider Haufe-umantis, located in Switzerland. It is only accessed and processed by members of the Human Resources function (Human Resources Generalist, Group and Country Human Resources Management, Recruitment, Talent Management, Compensation & Benefits, Payroll, HRIS and etc.), members of DKSH Group Management (the people who manage DKSH company(s), whether at country, regional, group or senior executive level), your hiring manager, system administrators and third party IT service providers. Such third parties as well as DKSH employees may be located in other countries. Therefore, your personal data may be transferred from your home country to other countries in the world such as Malaysia, Singapore, Thailand and Switzerland, including countries with data privacy legislation(s) that might not be as strict as that in your home country. We have taken steps to protect your personal data by implementing appropriate legal mechanisms.
6. What rights do you have in respect to your personal data?
You have the right to request information on what personal data we store about you and to request the correction or deletion of your personal data that is held by a third party with whom we conduct business or by us. Also, you have the right, under certain circumstances, to object to the processing of your personal data, where such processing is based on our legitimate interest and to request the restriction of the processing of your personal data and
you have a right to data portability and the right to lodge a complaint to your supervisory authority. If the processing is based on your consent, you have the right to withdraw your consent at any time. Please note that the withdrawal of consent will not affect the processing which has already occurred. Also, please note that these privacy rights are not absolute, and we reserve the right to enforce the restrictions imposed by law.
To make such a request, please contact us as described in the section “How to contact us” below. After providing proof of identity, we will respond to your requests within one month.
7. Data retention
DKSH will store your personal data as long as necessary for the purposes outlined in this Privacy Notice, unless a longer or shorter retention period is required or permitted by law.
8. Updating or deletion of your personal data
e-Recruitment allows you to view a major part of your employee records. If you wish to update or have your Data deleted before expiry of the data retention period, please click here to access the DKSH Careers website as an applicant. You may resubmit new Data with updated details at any time on the same website. All your legal rights to view your personnel records shall prevail. If you find that any of the data contained in e-Recruitment is false, incomprehensive or not complete, you can contact your Human Resources recruiter to edit, update or delete any such data at any given time.
9. Further information
DKSH Management Ltd., a company incorporated under the laws of Switzerland, having its registered office in Zurich, as well as the DKSH Group Company to which you employed by is responsible for your personal data. Neither the DKSH Group nor any of our third-party service providers accepts any liability whatsoever to you related to the transmission of your personal data (including any errors, delays or failure in transmission) via the Internet.

10. Cookies and usage tracking
We use cookies, small text files that are automatically placed on your computer’s hard drive when you access certain websites and similar technologies, directly or through third parties, such as web analytics services like Google Analytics. Cookies allow us to store information, such as your domain name, your internet service provider, your operating system, the date and time of access, the pages you visit or the types of searches you perform.
